Centered Minds is a busy and growing private practice based in Wilmington, NC and seeking a part time administrative assistant. This position would be ideal for a social work student (BSW or MSW) who would like some initial exposure to the field. This position is primarily remote, with some occasional in person work. Position will initially be 5-10 hours per week, with room for increase.

Centered Minds [herein referred to synonymously as “the practice”] is a private psychotherapy practice based in Wilmington, NC. The practice offers virtual therapy services to individuals experiencing mental health disorders, life transitions and more. The practice also provides clinical supervision and business consulting services to other psychotherapists in clinical practice.
The Administrative Assistant is a vital position that will provide direct personal and administrative support to the practice and to the owner of Centered Minds.
Job Description:
The Administrative Assistant’s job responsibilities will include, but are not limited to:
– Routine clerical work and office support work, to include responding to telephone calls and emails, data entry, etc.
– Sorting and filing of assorted documents and records, both clinical and financial.
– Billing and payment support and processing, including payment collection, recordkeeping and basic bookkeeping entry.
– Occasional data sourcing and research.
– Possibility of light errands, to include such tasks as posting mail, picking up supplies, delivering packages, etc.
– Maintain the highest standards of confidentiality. Due to the nature of psychotherapy work, all client records and information obtained or viewed in the context of employment must be treated as strictly confidential, pursuant to all HIPAA regulations.
– Other duties as assigned.
Qualifications:
The ideal candidate will:
– Demonstrate exceptional verbal and written communication skills. This role will be the first point of contact for many clients and client experience is paramount.
– Always maintain professional communications. This includes in correspondence with the clients of the practice, consumers, insurance companies, professional colleagues of the practice, other stakeholders, and with owners and employees of the practice.
– Respond promptly to emails, calls and other communications.
– Utilize excellent organizational skills.
– Maintain a positive and appropriate workplace attitude and demeanor.
– Punctuality and good attendance are a must.
Experience Requirements:
– Experience with use of Microsoft systems, especially Microsoft Outlook, Microsoft Word, and Microsoft Excel.
– Clerical and/or administrative support experience preferred. Willing to train the right candidate who is prepared to learn.
– Canva experience is a strong plus.
– Meets legal employment criteria for work in the State of North Carolina
