Regular Consultations Between Adviser and Student

Who Will Advise?

a) For the student's first two semesters, the doctoral chair will serve as adviser. Advising will be accomplished through periodic meetings of the entire doctoral student body or of each cohort, as well as through individual appointments.

b) By the end of the second semester, the doctoral chair and each student will identify a faculty member to serve as adviser. This person should at least potentially be the dissertation director. If the faculty member consents, his or her appointment as adviser will be submitted to the Doctoral Chair and the Dean for action.

c) No later the end of the fourth semester, the student and the adviser will put together a list of appropriate faculty to serve as members and chair of the student's committee. If the faculty members consent, their appointment will be submitted to the Doctoral Chair and the Dean for action.

d) All advisers and committees will be appointed by the Dean in consultation with the Doctoral Chair


Outline of Advising Tasks

Second Year Advising

I. What students need to accomplish this year in consultation from the adviser

A. Fall Semester

Plan and design the research practicum; identify site and research supervisor

Identify a minor program and map out supporting program courses

B. Spring Semester

Begin to formulate a dissertation area and some possible research questions

On the basis of the probable direction for the dissertation, identify and recruit members of the dissertation committee. There must be at least one member with expertise in the substantive area, the methodology, and the statistical or data analytic strategies for the dissertation.

The student should consult with the adviser about research assistantships for the third year

The adviser should encourage the student to explore possible sources of funding for the dissertation research

Third Year Advising

The third year adviser should be the probable dissertation adviser.

I. What students need to accomplish this year with consultation from the adviser

A. Fall Semester

Students should be formulating a dissertation plan as part of the dissertation seminar. The instructor in this course will read and critique their preliminary dissertation proposals and plans for the qualifying examination. Students should share these critiques with their adviser.

On the basis of the probable dissertation plan, students should have decided the final composition of their committee, and should be consulting with them about the dissertation. (See Section on the Student's Committee).

When the adviser and the student think the dissertation planning is far enough along that a judgment can be made about its adequacy and feasibility, the adviser should convene a meeting of the full committee to approve the preliminary dissertation proposal

Students should continue to consult with their adviser as they formulate the plans for the qualifying paper. As part of SoWo 313, they are expected to end the semester with a detailed outline for the qualifying paper (a detailed review of the literature, leading to the plan for the dissertation), which the adviser and committee should review and approve.

The adviser should encourage the student to explore possible sources of funding for the dissertation research.

B. Spring Semester

Students should be continuing their review of the literature and working on their qualifying paper; advisers should offer support and consultation

During this semester, or the next if student is continuing coursework, students should be completing the qualifying paper, and the adviser should assist in determining when the paper is finished, and when the committee members should be asked to read it (detailed criteria for evaluating the qualifying paper are being developed)

The adviser should encourage the student to explore possible sources of funding for the dissertation research

C. Spring Semester of third year, or fall semester of fourth year

When the qualifying paper is completed and judged to meet the criteria for evaluation, the student will distribute it to the other committee members, who will read it and offer feedback. A rating form is available to guide the student in preparing and the committee in evaluating the paper. Written feedback on the paper will be provided to the adviser, who will integrate it, decide what revisions are needed, and guide the student in completing them.

When the suggested revisions have been completed, the adviser will poll the members to ascertain that they find the paper acceptable, and should schedule the oral examination on the qualifying paper. The adviser will inform the chair of the doctoral program who will advise about formal procedures and documents that have to be completed.

The Graduate School requires that the written examination should be certified to be passed, and permission obtained before the oral examination can be scheduled.

Following the student's passing the oral examination, s/he is admitted to candidacy.

As soon as possible, s/he should complete the final dissertation proposal and submit it for approval by the adviser and the committee.

Regular Consultations Between Adviser and Student

Regular consultations between the Ph.D. student and adviser are an essential means to encourage timely and scrupulous completion of the dissertation. Both student and adviser should be responsible for seeing that such meetings take place on a regular basis. (Council of Graduate Schools:21) A good rule of thumb might be biweekly consultations between adviser and student.
